Motorcentral DMS is a Dealer Management System (DMS) used by vehicle dealerships to manage day-to-day operational and financial activity.
While it is not a full accounting system, it records and organises all accounting-related data that arises from dealership operations — including vehicle sales and purchases, trade-ins, deposits, payments, purchase orders, and supplier invoices.
The system effectively captures the operational accounting layer of the business. This data can then be exported to the dealership’s accounting platform, such as Xero or MYOB, where it becomes part of the full financial ledger and reporting process.
What Motorcentral DMS does
Motorcentral DMS captures and structures financial information that originates from dealership activities, including:
- Recording vehicle sales, purchases, trade-ins, and associated costs
- Managing customer deposits and payments
- Creating purchase orders and matching them to supplier invoices
- Tracking vehicle costs and overall deal profitability
- Maintaining its own internal chart of accounts for transaction categorisation
- Generating accounting journal exports for import into Xero or MYOB
Each transaction in Motorcentral is assigned to an internal account code. These accounts can be mapped to corresponding accounts within the dealership’s accounting system. When data is exported, the mapping ensures transactions flow into the correct general ledger accounts, maintaining accuracy and consistency between systems.
What Motorcentral DMS doesn't do
Motorcentral DMS focuses on operational data management and does not provide full accounting functionality. Specifically, it does not:
- Perform bank reconciliations
- Maintain accounts payable or receivable ledgers
- Process payroll
- Handle GST/VAT returns or tax submissions
- Produce full financial statements (e.g., balance sheet, profit and loss)
- Manage business overheads or fixed costs (such as rent, insurance, utilities, or wages)
These functions remain within the accounting system (e.g., Xero or MYOB), which consolidates operational data from Motorcentral with the dealership’s broader financial activities.
Integration with Xero and MYOB
Motorcentral DMS and the accounting system operate in tandem:
- Motorcentral records operational transactions and summarises them into accounting journals.
- These journals are exported (manually or automatically) and imported into Xero or MYOB.
- Once imported, the data integrates with other financial activities — such as bank transactions, overheads, and payroll — to form the dealership’s complete accounting picture.
This workflow allows the dealership to manage day-to-day vehicle operations within Motorcentral while maintaining accurate, auditable financial records within their accounting system.
